REGISTRATION NOTES – PLEASE READ PRIOR TO REGISTERING FOR THE CONFERENCE

ALL REGISTRANTS:

We encourage you to REGISTER EARLY. Due to social distancing seating arrangements, space for in-person attendees is limited.  We will close in-person registration once we have reached capacity.  (Registration for the virtual components of the program will still be available.)

We will be using a conference (software application) platform that allows both in-person and virtual participation in the conference.  We encourage registrants to attend sessions LIVE to participate in Q&A, in which virtual attendees can participate via the conference platform.  Most events will be recorded and available by logging into the conference platform through June 21, 2021, after which the recordings will be made available through the USASP website.  (Please note: the Early Career Forum, Professional Development Events, Business meetings, and some of the Special Interest Group (SIG) meetings will not be recorded and available for viewing.)

Registrants will receive access to the conference platform in early May 2022.  This will give registrants 2 weeks to complete their attendee profiles for the conference, read the user guides, and familiarize themselves with the conference platform user interface. On the platform (web-based platform and/or phone application) attendees will be able to create personalized agendas, view campus maps, network and engage with conference attendees and Special Interest Groups, stream conference sessions and recordings, and all the while earning points using the gamification feature.

Continuing Education: We will not be able to offer Continuing Education credits at this year’s Annual Scientific Meeting. This is our first year, we apologize for any inconvenience, and we certainly hope to offer this in the future.

Poster Presenters: If your research abstract was accepted to be presented as a poster at the conference, registration and in person attendance is required. You will have the option to also create an e-version - details will follow by email. If you cannot attend in person, you will need to find someone from your team to present the poster in person.

Symposia Speakers: You will receive a discount code via email to enter during your registration to receive the speaker rate. If you did not receive this code or require a new code, please contact [email protected]

In-Person Attendees:

We are discouraging on-site registration and the conference schedule, location of events, and other program details will be accessed on your smartphone using the conference platform.  We will NOT be printing program materials in an effort to be environmentally friendly.  You will be required to show proof of vaccination for COVID, asked to wear a mask to all indoor events, and practice social distancing to the extent it is practical.  Because social distancing requires a lot of planning, we ask that you choose the symposia you would like to attend as part of your registration.  This will allow us to ensure that the room size for each symposium has the capacity to accommodate both interest and social distancing.

The program starts on Wednesday, May 18, 2022with the Early Career Forum (limited registration and lunch at 12:30) followed by a Welcoming Reception (4:30pm).  We encourage you to participate in the full program, which ends on Saturday, May 21, at 1:30pm following a lunch panel discussion of opportunities to become involved in NIH-funded research networks (e.g., EPPIC-Net and others).

Virtual Attendees:

The cost of attending the “virtual only” portion of the conference is lower due to the online format (no need to cover meals, meeting room rental, etc).  NOT ALL sessions and conference activities will be available in the virtual format due to the challenges of supporting virtual access to some of our activities.

What IS included in “Virtual Only” format:

  • 3 Keynote presentations (including participation in Q&A using the conference platform app)
  • 20 Symposia presentations (including participation in Q&A using the conference platform app)
  • Select Special Interest Groups (SIG) meetings (to be decided by each SIG leader(s))
  • Select poster presentations
  • Conference platform discussion forums

For a full breakdown of virtually accessible activities and list of technical requirements for a smooth virtual conference experience, please visit here. The Full Conference Agenda can be viewed here

Early Career Members:

We anticipate the opportunity to offer a limited number of Travel Awards for Trainees.  A trainee is someone who is working toward a terminal degree or has completed their terminal degree and is currently in training (e.g., clinical or research fellowship). Information will be posted here as it’s available.
